Description
Hennepin County's Purchasing and Contract Services department is seeking an Administrative Assistant. This position will provide administrative support for the county's sustainable purchasing initiative, various county agreements including the Hennepin - University of Minnesota Partnership and shared services between the county and Hennepin Healthcare, county roster programs and disparity reduction efforts, and other administrative tasks as assigned by the supervisor and department.

Location and hours:
This position is remote. Remote workers may be required to come on-site 0 to 12 days a year for work meetings, trainings, or for any other reasons that their supervisor may deem necessary (may include additional days for onboarding and new employee training). Supervisors will provide as much advance notice as practicable. Work hours will be Monday through Friday, 8 a.m. to 4:30 p.m., with some flexibility. Based on business needs of this position, hires must live in or relocate to Minnesota. New Employee Orientation (NEO) for all new benefit-earning employees is in-person in downtown Minneapolis. Details about NEO will be provided upon hire.

In this position, you will:
· Compose sustainable purchasing reports, draft correspondence to internal and external stakeholders, and generally support the sustainable purchasing initiative.
· Provide direct administrative support for disparity reduction efforts, including creating and compiling reports and drafting correspondence to internal and external customers.
· Assist in drafting agreements, obtaining insurance certificates and other related duties for some of the different programs within the department.
· Keep current on Minnesota statutes related to bidding procedures and purchasing rules for Hennepin County.
· Manage multiple shared email boxes and be able to answer various questions related to contracting with the county.
· Serve on county-wide committees for sustainable purchasing initiatives and join community groups or task forces promoting disparity reduction efforts and sustainable purchasing.
· Take notes for all-staff and other meetings and other administrative tasks as assigned by the position’s supervisor.
Need to have:
· One of the following:
o Four years or more of experience in general administrative work related to the management of departmental/organizational operations, or in a specialty area appropriate to the position.
§ Note: General administrative work is defined as the administration and/or management of programs, policies, and/or budgets.
o Bachelor's degree or higher in public administration, business administration, or another field appropriate to the position.
Nice to have:
· Experience:
o Creating specialized correspondence and reports for various audiences.
o Researching, reviewing, and making recommendations on policies and procedures.
o Drafting and developing plans for program modifications and implementation.
o Using Microsoft Office Suite and/or other similar applications to create reports, spreadsheets, presentations, etc.
o Working with sustainable purchasing and contracts.
o Communicating with and providing customer service to internal and external stakeholders via phone, email, and in person.
· Ability to:
o Establish and maintain effective working relationships with internal and external customers.
o Serve on county-wide committees, community groups, and task forces.
o Read and interpret policies, procedures, laws, and regulations.
· Knowledge of policies and procedures related to purchasing and contract services.
