Description
The Department of Community Corrections and Rehabilitation (DOCCR) is hiring an Office Specialist III. This position will provide clerical and administrative support to probation and parole officers in the Adult Probation Supervision Services (APSS) division. This position may also provide support to other probation units and/or probation locations.Current Hennepin County employees who refer a candidate hired into an open competitive position may be eligible for a $500 referral bonus. Location and hours:This position is hybrid and could be assigned to any of our four locations and remote as job duties require. Locations could include;
Probation Center North - 4336 Lyndale Ave N, Minneapolis, 55512South Hub - 2215 E Lake St, Suite 470, Minneapolis, 55407Government Center - 300 South 6th St, Minneapolis, 55487Brookdale Service Center - 6125 Shingle Creek Parkway, Suite 300, Brooklyn Center, 55430
Work hours are Monday through Friday, between the hours of 8 a.m. – 4:30 p.m., with some flexibility. While this position is designated as hybrid, based on current requirements hires must reside in Minnesota or Wisconsin.
New employees who are hired into remote or hybrid positions between January 2, 2022 to December 31, 2024, will receive $500 toward the cost of establishing consistent internet connectivity, payable after the new employee successfully completes probation. · Provide high volume customer service both in person, by telephone, and electronically to clients, attorneys, court personnel, the public, and probation staff.
· Provide front desk coverage, as well as additional duties and responsibilities such as the creation of document templates, creating client files, data entry, electronic filing, running various quality assurance reports, and other administrative tasks as needed.
· Input, retrieve, export, and modify information and data stored in computerized systems.
· Assist other user with problems associated with computers and generate reports.
· Learn and navigate multiple source systems.
· Write, prepare, and proofread specialized correspondence, list, reports, and other standard office documents.
Need to have:
· One of the following:
o Two years or more of full-time office clerical experience.
o Completion of two years or more of post-high school education.
o 18 months or more of office clerical experience and completion of the Office Specialist Pathway Training program.
o One year or more of office clerical experience and completion of the Human Services Pathway Training program.
Nice to have:
· Experience:
o Utilizing Microsoft Office (Teams, Word, Excel, PowerPoint, and Outlook).
o Performing records management functions.
o Organizing, updating, and maintaining numerous electronic files using various computerized information sources such as but not limited to MNCIS, CSTS, and MGA.
o Serving and supporting staff using various communication methods, while giving clear and concise information and/or direction.
· Ability to:
o Work independently and as part of a team.
o Manage and prioritize time.
o Plan, organize and prioritize high quality work while multi-tasking complex tasks with great attention to detail.
o Communicate both verbally and in writing.
